Assign Company and Relationship Records

This article explains how admins can assign Company and Relationship records to Partners and Partner Users.

Overview

Through-Partner Customer Success allows organizations to efficiently manage their internal customers and through-partner customers. This is achieved by granting Partners a controlled access of the organization's Gainsight instance. With this access, Partners can independently manage through-partner customers. Simultaneously , the organization can manage and collaborate with all its Partners through a single software application. It also helps organizations to manage upcoming renewals, predict churn and take necessary actions for prevention.

Prerequisite

Access to Company and Relationship records by Partners and Partner Users depends on the specific Data Permissions assigned to each Partner. Consider a scenario where a Data Permissions rule restricts Partner access only to Company records. In this case, even if access is granted from the Through-Partner Customer Success module, Partners and Partner Users cannot access Relationship records.

Assign Records

Partners and Partner Users manage Companies and Relationships which are assigned to them. They are restricted from accessing, updating, or viewing data outside of their designated records.

As an admin, you need to assign Company and Relationship records from the Company and Relationship objects, respectively. Once you have assigned the respective records, Partners and Partner Users can access data available in them.

Assign Company Records

You can assign and provide access to Company records using the following options:

Assign Using Criteria Based Selection

This option allows you to filter multiple Companies from the Company object and provide access in bulk to Partner and Partner Users. To provide access to Company records:

  1. Navigate to Administration > Partner Success > Through-Partner CS. The Through-Partner Customer Success page appears.
  2. From the Name column, select the Partner to whom you want to assign Company records. A slide-out panel appears.
  3. Click the Companies tab.
  4. Click Select Company.

  5. In the Criteria Based Selection section, click Add Filter.
  6. Define the filter criteria.
  7. Click Run Criteria. Companies that match the defined criteria get populated.

  8. (Optional) Click View Companies. The Companies slide-out panel appears displaying the list of companies that match the rule definition.
  9. Click Save.
  10. Click Submit. The selected companies are listed in the Companies tab.

Assign Using Manual Selection

This option allows you to manually search one or more companies in the Company object and provide their access to Partner and Partner Users. To provide access to Company records:

  1. Navigate to Administration > Partner Success > Through-Partner Customer Success. The Through-Partner Customer Success page appears.
  2. From the Name column, select the Partner to whom you want to assign Company records. A slide-out panel appears.
  3. Click the Companies tab.
  4. Click Select Company.

  5. Click Manual Selection.
  6. In the Manual Selection tab, search and select the Companies that you want Partners and Partner Users to access.

  7. Click Submit. The selected companies are listed in the Companies tab.

Assign Relationship Records

You can assign and provide access to Relationship records using the following options:

  • Assign Using Criteria Based Selection
  • Assign Using Manual Selection

The procedure to assign Relationship records is the same as Company records. To assign Relationship records:

  1. Navigate to Administration > Partner Success > Through-Partner CS. The Through-Partner Customer Success page appears.
  2. From the Name column of the All Partners section, select the Partner to whom you want to assign Company records. A slide-out panel appears.
  3. Click the Relationships tab.
  4. Click Select Relationship.
