This article explains how to use the automation features in the Actions tab to automate onboarding, recertification, and adaptive learning across courses and paths in Skilljar Starter.

Overview

Use the automation features in the Actions tab to automate tasks such as onboarding, recertification programs, and adaptive or sequential learning. Actions can be applied to both courses and learning paths.

These actions include:

  • Customizing emails to students
  • Adding students to selected groups when criteria are met
  • Removing students from groups when criteria are met
  • Enrolling students into newly published content (courses and paths) when criteria are met
  • Deactivating an enrollment after a course is completed

Note: Actions apply to all students who meet the time delay requirements, regardless of the registration or completion date. For example, if you schedule an engagement email for 7 days after registration, a student who registered 5 days ago still receives the email on the 7th day.

Available Actions

Email Student. Customize the emails sent to students when they meet an action's criteria. Select Email Student (or Email Student on Completion within Completion Actions), then select an existing template or Create New Template and edit the name, subject, and body.

Email on Failed Completion. Send an email when a student completes content with a failing grade. This requires the course Course Score setting to be set to mark the course complete whether the student passes or fails.

Add to Group. Add students to one or more groups when the action is triggered. Select the group from the left list and select the > icon to move it to the right list, then select Save.

Complete Content. Automatically mark selected courses or paths as complete based on a completion or post-completion trigger on the originating course. If the student has an active enrollment, the selected content is marked complete; if not, the student is enrolled and immediately marked complete with matching timestamps. Only top, course-level progress is updated.

Enroll in Content. Automatically enroll students in other published content (courses and paths) after they meet the action's criteria. Select the content from the left list, select the > icon, then select Save.

Note: Select published content from the correct domain. Students need a valid domain membership to be enrolled in any domain-specific object. This action ignores any prerequisites and creates a new enrollment even if the student already has an active one.

Issue Certification on Successful Completion. Automatically issue a certificate after a student successfully completes the content. Choose an existing certificate or select Create New Template.

Remove from Group. Remove students from one or more groups when the action is triggered. Select the group, select the > icon, then select Save.

Note: Do not select the same group for Add to Group and Remove from Group in a single Registration or Completion action. The order of operation is not guaranteed and the student experience may be inconsistent.

Issue or Update Credly Badge. Integrate with Credly to issue or update badges on course completion. The Credly action is available only after the Credly integration is configured. Select Add Completion Action, select Issue or Update Credly badge, provide the trigger, Credly details, issuing method, and badge expiration, then select Save.

Deactivate Enrollment on Completion or Post Completion. Deactivating an enrollment removes access to the training content. This action is available only for Completion and Post-Completion Actions.

Triggers

Some actions have distinct triggers. To trigger an action, students must meet the required criteria, such as a time delay or a completion status.

Scheduled Actions. Engagement and Post-Completion emails use a time delay, configured as the number of days Skilljar waits from the registration or completion timestamp before the action occurs.

Note: This remains true even if a registration or completion date is set manually using the Dashboard or data import.

Completion Status. Completion actions can be triggered by the student's pass or fail status: complete (pass or fail), pass, or fail. Select the desired trigger before selecting the groups or content, then select Save.
