Update CTA Action Type

This article explains how admins can update multiple Cockpit CTAs with a single rule configuration.

Overview

The Update CTA action type in Rules Engine lets admins update the CTA details automatically. 

Example Business Use Case: Admins can create a rule that reassigns the ownership of CTAs in case the current owner is deactivated. The new owner can be set to the Company CSM. Once this rule is triggered the owner of the CTAs are updated automatically to the Company’s CSM.  

Gainsight recommends reading the configuration of the Rules Details, Data Setup, and Schedule steps before reading this article. For more information, refer to the Create New Rule section of the Rules Engine Horizon Experience Overview article.

Once the dataset is prepared, admins can configure the rule to perform one of the following actions:
IMPORTANT: The Company GSID field should be added in the dataset for the Call to Action option to appear in the Action setup.

Update All CTAs from the Dataset

Admins can configure the Update CTA action type to update all the CTAs in the dataset. The updated values for the required fields can be provided while configuring the action type.

  1. Navigate to the Action Setup step of building a rule.
  2. Hover on the dataset. The Add Action icon appears.
  3. Click the Add Action icon. The Add Criteria slide-out panel appears.
  4. (Optional) Click Add Criteria to define a filter criteria for the dataset. 
  5. Click Continue. The Add Actions step appears.
  6. From the Create Action drop-down list, select Call To Action.
  7. Select the Update CTA option.
  8. From the CTA Identifier dropdown, select GSID.
  9. Update one or more of the following details:
  • Description: Provide a description of the rule.
  • Owner: Type and search to assign the new owner.
  • Reassign Task Setting: Select this checkbox to reassign the tasks associated with the CTAs to the new owner.
  • Due Date: Postpone or prepone the due date with respect to the current due date. Admins can select to include the weekends while counting up to the new due date.
  • Apply To Tasks: Select this checkbox if to apply the updated due date to the tasks associated with the CTAs. 
  • Update Comment: Type @ to see options available for tokenized comments.
  • Append: The comment added in the textbox is added to the list of existing comments.
  • Replace: The comment added replaces the existing comments.
  1. Click Save Actions to save the configuration.

Update CTAs Based on the CTA Type 

Admins can configure the Update CTA action type to update CTAs that belong to a selected CTA Type. Once a CTA Type is selected, the fields configured for the CTA Type are displayed and can be updated. 

To update CTAs based on the CTA Type:

  1. Navigate to the Action Setup page.
  2. From the Action dropdown menu, select Call To Action.
  3. Select the Update CTA option.
  4. From the CTA Identifier dropdown, select GSID.
  5. From the CTA Type dropdown menu, select a CTA Type. The fields configured for the selected CTA type appear.
  6. Update one or more of the following details:
  • Owner: Type and search to assign the new owner
  • Reassign Task Setting: Select this checkbox to reassign the tasks associated with the CTAs to the new owner
  • Apply To Tasks: Select this checkbox if you want to apply the updated due date to the tasks associated with the CTAs. 
  • Update Comment: Type @ to see options available for tokenized comments.
    • Append:  The comment added in the textbox is added to the list of existing comments.
    • Replace: The comment added replaces the existing comments.
  • Additional Fields: The fields configured for the selected CTA Type can be updated by providing the new values

  1. Click Save Actions to save the configuration.
