Configure Admin-Defined Views for Timeline
This article helps Admins create and manage admin-defined views for Timeline in Gainsight CS.
Overview
Admin-defined views for Timeline give Gainsight Admins the ability to create named, filter-configured views and publish them directly to their teams. Once published, these views appear in a dedicated Admin Defined Views section within each user's Timeline views dropdown, keeping focused activity feeds accessible without requiring CSMs to configure filters themselves.
To help CSMs stay focused, admins can create and manage views that surface what matters most.
Admins manage all views from a dedicated Views tab in Timeline Administration. CSMs can apply admin-defined views to filter their Timeline feed but cannot modify them directly.

Points to Consider
Review the following points before configuring admin-defined views:
- Admin-defined views are honored in Global Timeline, Company 360 Timeline, Relationship 360 Timeline, Person 360 Timeline, and the Timeline widget in GS Home only.
- Admin-defined views are not surfaced in Scorecard, CTA, Success Plan, or any other Timeline-adjacent surfaces.
- CSMs can apply admin-defined views but cannot edit them. To customize a view, a CSM must save a copy under a new name as a personal view.
- Existing user-created personal views are not affected by admin-defined views.
Create an Admin-Defined Timeline View
You can create a named Timeline view with custom filters and assign it to specific users, groups, or all users. Published views appear immediately in the assigned users' Timeline dropdowns.
To create an admin-defined view:
- Navigate to Administration > Timeline > Views. The Views page appears.

- Click Create View. The Create New View page appears.

- In the Name field, enter a name for the view. This name appears in the user-facing Timeline dropdown.
- (Optional) In the Description field, enter a brief description of the view's purpose.
- From the Filters section, select an Activity Type and Activity Date range. These filters appear at the top and serve as the foundation for your view. From there, you can layer in additional filters across Timeline, Company and relationship fields, such as narrowing results to active companies using the Add Filter option. You can update the Rule logic to set the filter criteria.

- From the Permissions section, select how to assign the view. Select Assign to all to assign views for all users or select Assign to Users/Groups to assign view access to specific users or users groups.

- Click Save. The view appears in the admin Views list and is immediately available to assigned users in their Timeline dropdown under Admin Defined Views.

Manage Existing Admin-Defined Views
The Views tab in Timeline Administration lists all admin-created views with their name, description, assigned permissions, and active state. You can edit, clone, delete, or deactivate any view from this list.
Edit a View
You can update any view's name, description, filters, or permissions at any time. Changes take effect immediately for all assigned users.
To edit a view:
- Locate the view you want to update.

- From the three-dots horizontal menu, click Edit. The Edit View page appears.

- Update the required fields.
- Click Save. The updated view is applied immediately to all assigned users.
Clone a View
Cloning creates an independent copy of a view with a new name. Edits to the clone do not affect the original view.
To clone a view:
- Locate the view you want to clone.

- From the three-dots horizontal menu, click Clone. The view is cloned.
- Edit the cloned view and update the Name to distinguish it from the original.
- Make any additional changes and click Save.
Delete a View
Deleting a view is permanent. The view is removed from all user dropdowns immediately after deletion.
To delete a view:
- Locate the view you want to delete.

- From the three-dots horizontal menu, click Delete. The Delete view dialog box appears.

- Click Delete to confirm deletion.
You cannot undo a deletion. If you want to preserve the view's filter configuration for future use, consider deactivating it instead.
Deactivate or Reactivate a View
You can toggle a view between active and inactive states. Inactive views do not appear in any user's Timeline dropdown.
To turn off a view, toggle the Active switch next to the view name to the off position. The view is removed from all user dropdowns immediately.
To reactivate a view, toggle the Active switch back to the on position. The view becomes visible again to all assigned users.
