Reports and Dashboards Limitations

This article explains about the limitations in Reports and Dashboards. The following are the reporting preview and export limits in Report Builder, Gainsight Home Dashboards and C360:

Report Builder

  • Show me field limit: upto 10 fields can be selected, provided there is 1 or more By fields
  • By field limit: upto 5 fields

Limitations of Viz Types

Each Chart Type has a certain limit as to which it can represent Data. This limit has been stated in the table below.

This table contains the following information (columns):
1. Type of Chart- the type of chart selected by the User to represent their data
2. Data limit per field - this limit is applied when only one field has been selected under Show me  
3. Data limit over all - this limit is applied when multiple fields have been selected under Show me

The number of records being displayed are done so by honoring the ranking and sorting of the user has applied to a respective field. 
To overcome these limitations, you can try shrinking your data size using one of the following ways:

  • Apply filter

You can apply filters such as Date filters while dealing with Time Range, Geographical filters while dealing with Region etc. This will streamline your data set and yield desired results.

  • Aggregate the data 

You can make your data set more compact by aggregating the data. For example, Days can be aggregated by Weeks, Accounts can be aggregated by Region etc.

Exports

Export Reports as Excel

  • You can export the report to excel based on the Tenant configured report read limit, can vary between 1000 and 5000 (max.)

Export Reports as CSV

  • Export to CSV option in a report exports up to 100K  records only.
  • Email servers typically have an attachment file size limit (Gmail 25 MB, Outlook 20 MB) because of which the capabilities of Export to CSV is also limited.
  • Gainsight recommends to use Export to S3 from Bionic Rules, if the records in your report exceed 100K records.  
  • Row grouping is not supported in CSV exports. 

Export Dashboard

  • PPT max. records 500 with 50 slides
  • Max. # of reports per Gainsight Dashboard: 20

Report Timeout

  • 30 seconds (Mongo can have maximum document data as 16MB).

Other Limitations

  • Stacked Bar/Column charts will not display the visual data points (Numbers) on the bar/column, if the percentage is below 15.
  • When you add a Date field to Show Me section and have applied a Min/Max function, with a field in By section. You can only see the tabular report, but not the other visualization types. This behavior is applicable for MDA Objects and for SFDC objects, you will not see the Min/Max function on the Date Fields added to Show Me.
  • Decimal places should be supported for 9 digit only.
  • Row grouped reports are not visible in Sally and Journey Orchestrator.
  • For Gainsight objects, you cannot create multiple reports with the same report name, even if you try saving the report, it will not be saved to the report repository. Alternatively, you can prefix or suffix some additional text and then save the report. 
  • When you login to Gainsight NXT via Salesforce, you cannot create reports on Salesforce custom object if the name of the Salesforce custom object is same as Gainsight packaged object.
