This article will guide you through the Transactions tab and all of its features. Within the transactions tab you will find two sub tabs, Transactions and Analytics. These configurations pertain to LRM 1.0, as opposed to LRM 2.0.

Setup

Prior to using the Transactions tab, you will need to setup the opportunity connector and define the transactions attributes relevant for your business. To learn more about enabling the transactions tab, check out the following articles:

Transactions Tab

Once you have your transactions attributes set up, you will navigate to the transactions tab where you can start adding (or link) closed/won opportunities as transactions in Gainsight. To learn more about how to add transactions, check out this article Adding Transactions.

Once customer transactions are added, you will be able to leverage the Transaction Tab to analyze transactions. From here you will be able to view your transactions data in a detailed report format. The data displayed is dependent on the selected view and the applied filters.

UI Views

By setting up various UI Views, users can configure what columns are displayed or filters are applied for quick reporting purposes. For example, you can setup UI Views to quickly review all closed renewals that are about to expire in the upcoming quarter.

In this example we are using the a view which is set to show Customer Name, Booking Type, MRR, ARR, Booking Date, Renewal Date, Users. The UI Views are setup under the Administrator Tab. For more information on how to setup UI Views, please read the following article: Creating Custom UI Views.

Filter

The filter allows you apply parameters that were not included by default in the UI View configuration. In the example below, we’re using the Standard View, which includes by default, transactions for all customers. In order to apply a filter to focus on all the transactions that are up-coming for renewal in 2016, we can do one of two things: 

Option 1: Type in the parameter you wish to filter by in the column’s header

Option 2: Add a filter and add a parameter to the view

Option 2: Add an advanced filter and add a parameter to the view

Click on + ADD ADAVANCED FILTER to add adavanced filters.

Add the search paramater and click APPLY.

Export

Export

The transactions tab also allows you to export the detailed view to a CSV file. Click on the side menu and choose Export.

Once Export is selected, a message at the top of the view will confirm that the export had been processed, and that your request to export data is added to the queue. Once the export process is complete, you will receive an email notification with the attached CSV file. 

Analytics Sub Tab

The Analytics sub tab is typically used by the financial analyst on the team, who’s tasked in compiling transactional historical analysis for management or the board of director on a periodic basis. The graph represents monthly, quarterly or annual trend of historical transactions by booking or subscription start date.  

In the example above, the trend is shown by MRR, however, the graph could also plot the trend of Users or ARR.

To better understand the underlying amount shown in the graph, there a two main features the transaction analytics sub tabs offers:

Drill Through

The graph comes built-in with drill through capabilities, which automatically generate a detailed transactions report under it when a specific column is selected.

For example, in order to understand what were the underlying amount shown in June for total Renewals $MRR, we need to examine a detailed report of all the renewal transactions that took place that month. Such a detailed report is generated under the graph, by clicking on the relevant column.

Transactions Consolidated Detailed Report

Below the graph you will find a consolidation report, which provides additional information designed to help understand the calculation underlying the data presented in the trend graph. The detailed report showed how ARR, MRR, # Customers and # of Users were consolidated over time, starting from beginning period through ending period.
